Works Closely With: Marketing & Communications Team, Business Development Team and Finance Team
Position Summary:
EnerNex is seeking a proactive and detail-oriented Proposal Manager to lead the development, coordination, and submission of compelling proposals that align with our strategic business goals and support effective contract management throughout the project lifecycle. This role will manage the end-to-end proposal & contract execution process, collaborate with subject matter experts, technical staff and company management, maintain a library of qualifications and resumes, and contribute to ongoing business development efforts. The Proposal Manager will also provide contract management support and maintain data within Salesforce and other internal systems.
This role requires excellent organizational, communication, and writing skills, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Key Responsibilities:
Proposal Management
- Lead the coordination and preparation of responses to RFPs, RFIs, and other procurement opportunities.
- Develop and manage proposal schedules, ensure timely inputs from technical teams, and oversee final submission.
- Write and edit proposal content, including executive summaries, firm qualifications, and personnel bios.
- Ensure compliance with RFP requirements, formatting standards, and internal review processes.
- Monitor, file, and preserve client contract documentation.
Collaboration & Coordination
- Collaborate closely with technical subject matter experts and leadership to extract relevant project experience and capabilities.
- Partner with the Marketing & Communications team to ensure proposal messaging aligns with brand and voice.
- Maintain regular communication with the Director of US Markets and other business development leads regarding active pursuits and pipeline activities.
Qualifications & Project Library Maintenance
- Maintain and routinely update the company’s qualifications database, project descriptions, and resumes.
- Track past performance examples and ensure consistency across submittals.
- Work with staff to update CVs and ensure they reflect current responsibilities and expertise.
Salesforce & Pipeline Tracking
- Enter and update opportunities and client information in Salesforce.
- Support reporting needs and ensure accurate tracking of leads, proposals, and outcomes.
RFP Monitoring & Lead Generation
- Conduct regular searches for new opportunities through procurement portals and other sources.
- Monitor industry trends and coordinate distribution of leads internally.
Contract Management Support
- Assist with contract document coordination, tracking, and archiving.
- Support reviews of contractual requirements, teaming agreements, and NDAs in coordination with leadership.
Required Skills & Experience:
- Bachelor’s degree in Communications, Marketing, Business, English, or a related field.
- 3+ years of experience in proposal management, business development, or marketing—ideally in a consulting, engineering, or technical services environment.
- Demonstrated ability to write, format, and manage professional, high-quality proposals.
- Strong project management skills with the ability to manage multiple deadlines.
- Familiarity with AI-powered tools (e.g., ChatGPT, CoPilot).
- Familiarity with Salesforce or similar CRM platforms.
- Proficiency with Microsoft Office Suite and Adobe Acrobat; experience with InDesign or other publishing tools is a plus.
